Basic Purpose and Objective of the Position
This person is the first point of contact, and it is critical that they leave each person with a positive impression of our business. This role will perform widely varied administrative tasks, including greeting visitors, supplying information regarding the organization to the general public, clients, and customers, sorting and distributing mail, requisitioning supplies, and performing general office support, and other administrative activities.
Primary Responsibilities – reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:
· Professionally greet, direct, or assist visitors ensuring that they sign-in and create a name tag. Coordinates, completes, and maintains documentation related to ITAR for visitors in coordination with Compliance.
· Reports directly to the Sr. Facilities Maintenance & HSE Manager and will provide general administrative support to the entire business, including the Executive Team; tasks may include daily reporting, scheduling, correspondence, and expenses.
· Schedule and organize meetings, appointments, travel, and departmental activities as required including lunch orders and dinner meeting reservations.
· Manage/maintain key distribution groups and lists for the team, including evacuation groups, Fire Wardens, and First Responder listings for the facility safety programs.
· Receive, sort, and forward incoming mail, maintain and routes publications as needed. Assist with mass, special, and certified mailings.
· Assist in the ordering, receiving, stocking and distribution of office supplies, including supplies for the break room and janitorial supplies.
· Assist with other related administrative duties such as photocopying, faxing, filing, collating, data entry, etc.
· Types memos, correspondence, reports, and other documents including visual presentation, as required.
· Supports activity and event coordination, such as All Hands Meetings, Social Committee Activities, and the annual summer event.
· Acts as back up for the Sr. Facilities & HSE Manager for key metric reporting in the areas of Safety and Maintenance. Includes attending daily meetings to provide status updates in the event of the Sr. Facilities & HSE Manager’s absence.
· Acts as administrator for new employee set up in the Safety and Security systems. This includes the creation of employee security badges, the assignment of access to secure areas based on employee requirements, emergency evacuation group assignments, and assigning required Safety Training based on employee roles and OSHA requirements.
· Perform a variety of administrative duties and assist with special projects and perform other related duties as assigned.
Salary Range $26.00 to $29 per hour
Qualifications
Education and Experience
· High School Diploma, or GED equivalent required, associate or bachelor's degree preferred.
· Minimum 3 years of strong administrative work experience
· Proficient computer skills including and Microsoft Office Suite, and e-mail.
· Experience planning meetings or events highly desirable.
